01Information We Collect
Account Information
When you create or use a RecruitMap account, we may collect information such as:
- Email address;
- Username or display name;
- Name associated with your account;
- Profile photo, including a profile photo provided through Google sign-in;
- Authentication information and identifiers associated with your account; and
- Information provided through third-party authentication services, such as Google OAuth.
We do not receive or store your Google password.
If you use office tracking, we also store the firm and office combinations you choose to follow so we can send email alerts.
Profile and Recruiting Information
RecruitMap allows users to provide information related to their recruiting experience. Depending on the features you use, this may include:
- School or university;
- Graduation year;
- GPA;
- Referral status;
- Firm or employer;
- Role or position;
- Group, practice, or department;
- Office or recruiting location;
- Application or recruiting stage;
- Recruiting result or outcome;
- Dates or approximate timing of recruiting events;
- Interview, rejection, offer, or other recruiting status information;
- Comments, descriptions, or other information you voluntarily submit; and
- Other information you choose to add to your RecruitMap profile or submissions.
You are not required to provide information beyond what is necessary to use the applicable RecruitMap feature.
Information That May Be Public
RecruitMap is designed in part to aggregate and display recruiting information to other users.
Information you submit through your profile or recruiting submissions may therefore be displayed publicly or to other RecruitMap users. This may include your:
- Username or display name;
- Profile photo;
- School;
- Graduation year;
- GPA;
- Referral status;
- Firm;
- Role;
- Group, practice, or department;
- Office;
- Recruiting stage or outcome;
- Recruiting timing; and
- Comments or other information you include in a submission.
You should not submit information that you do not want others to see.
Your account email address is not intended to be publicly displayed unless you independently choose to include it in a publicly visible field or submission.
Automatically Collected Information
When you access RecruitMap, we and our service providers may automatically receive certain technical information, such as:
- IP address;
- Browser type;
- Device type;
- Operating system;
- Pages viewed;
- Dates and times of visits;
- Referring pages;
- Interaction or usage information; and
- Diagnostic, security, and server log information.
We do not intentionally collect your precise GPS or device location.
A recruiting office, city, or other location that you select as part of a recruiting submission is information you voluntarily provide and is not treated as precise device-location data.
02How We Use Information
We may use information collected through RecruitMap to:
- Create and maintain user accounts;
- Authenticate users and provide account access;
- Operate and maintain RecruitMap;
- Display recruiting information and user submissions;
- Aggregate recruiting outcomes, timelines, and trends;
- Allow users to compare recruiting activity across firms, roles, offices, schools, or other categories;
- Improve RecruitMap's features, design, reliability, and user experience;
- Understand how users interact with RecruitMap;
- Detect fraud, spam, abuse, unauthorized access, or security incidents;
- Enforce our Terms of Service and other policies;
- Respond to questions, support requests, privacy requests, and other communications;
- Send recruiting timeline alerts for firm and office combinations you track;
- Process payments if RecruitMap introduces paid features;
- Comply with applicable laws and legal obligations; and
- Protect RecruitMap, our users, and others.
We may also create aggregated or de-identified information that does not reasonably identify an individual user. We may use this information for analytics, research, product improvement, and recruiting statistics.
03Public Recruiting Information
A central purpose of RecruitMap is to make recruiting information more transparent.
When you submit recruiting information, some or all of the information associated with that submission may be made available to other users or the public as described above.
Publicly visible information may be indexed, copied, screenshotted, shared, or otherwise saved by third parties outside RecruitMap. Although we may remove information from RecruitMap following a valid deletion request, we cannot guarantee deletion of copies independently saved or republished by other people or services.
Please consider this before submitting information.
04How We Share Information
We do not sell your personal information.
We do not share your personal information with recruiters or employers for recruiting or hiring purposes.
We do not use your personal information for targeted advertising.
We may disclose information in the following circumstances.
Publicly, at Your Direction
Information that you submit to portions of RecruitMap designed to be public may be displayed to other users or visitors as described in this Privacy Policy.
Service Providers
We may provide information to companies that help us operate RecruitMap. These providers may include:
Supabase. We may use Supabase for services such as authentication, databases, and storage.
Vercel. RecruitMap may use Vercel to host, deploy, deliver, monitor, and operate the website and related infrastructure.
Google. We may use Google services, including Google OAuth for authentication and Google Analytics for understanding website usage.
PostHog. We may use PostHog for product analytics and session replay, including understanding navigation paths, feature usage, and activity associated with an internal account identifier.
Resend. We may use Resend to deliver requested recruiting timeline alerts and other service emails to your account email address.
Twilio. We may use Twilio to deliver requested recruiting timeline alerts to the mobile number you provide.
Stripe. If RecruitMap offers paid products or features, we may use Stripe to process payments. Payment information submitted through Stripe is processed according to Stripe's own privacy practices, and RecruitMap does not intend to directly store complete payment-card information.
We may add, remove, or replace service providers as RecruitMap develops. Service providers may process information only as necessary to provide services to us, subject to their applicable agreements and privacy practices.
Legal and Safety Reasons
We may disclose information when we reasonably believe disclosure is necessary to:
- Comply with applicable law, regulation, court order, subpoena, or other legal process;
- Respond to lawful requests from governmental authorities;
- Investigate fraud, abuse, security issues, or violations of our policies;
- Protect the rights, property, or safety of RecruitMap, our users, or others; or
- Establish, exercise, or defend legal claims.
Business Transfers
If RecruitMap is involved in a merger, acquisition, financing, restructuring, sale of assets, or similar transaction, information associated with RecruitMap may be transferred as part of that transaction.
05Cookies and Similar Technologies
RecruitMap may use cookies, local storage, and similar technologies.
Some technologies are necessary to provide features such as:
- Keeping users signed in;
- Maintaining authentication sessions;
- Remembering user preferences;
- Preventing fraud or unauthorized access; and
- Operating and securing the website.
We may also use analytics technologies, including Vercel Analytics, Google Analytics, PostHog, or similar services, to understand how users use RecruitMap and improve the service.
If we introduce non-essential cookies or tracking technologies for which consent is legally required, we may provide additional notices or controls as appropriate.
RecruitMap does not currently use cookies for targeted advertising.
Your browser may allow you to block or delete cookies. Disabling certain cookies or storage technologies may prevent parts of RecruitMap from functioning correctly.
06Analytics
We may use analytics providers such as Vercel Analytics, Google Analytics, and PostHog to understand information such as:
- Number of visitors;
- Pages visited;
- Navigation paths and last activity times;
- General usage patterns;
- Referring sources;
- Device and browser information; and
- Interactions with RecruitMap.
For signed-in product analytics, we may associate events with the internal identifier assigned to an account. Our current PostHog integration does not send email addresses, passwords, applicant search text, application IDs, or application-form contents such as school, GPA, group/department, or referral information.
When enabled in production, PostHog session replay may reconstruct visits to RecruitMap, including pages viewed, navigation, clicks, scrolling, visible page content, and related browser or device information. We use these recordings to understand how RecruitMap is used, diagnose usability or technical problems, and improve the service.
Our session-replay configuration masks all form input values before replay data is sent to PostHog. Visible text outside form inputs may still appear in a recording. Our PostHog integration also respects supported browser “Do Not Track” settings.
We retain session recordings only for as long as reasonably necessary for these purposes, subject to our configured PostHog retention settings.
Analytics providers may process technical information under their own privacy policies and agreements with us.
We may change the analytics providers we use as RecruitMap evolves.
07Payments
RecruitMap may offer paid features in the future.
If you purchase a paid feature, payment transactions may be processed through Stripe or another payment provider.
The payment provider may collect payment-card information, billing information, transaction information, and other information necessary to process the transaction, prevent fraud, and comply with legal obligations.
RecruitMap does not intend to directly store complete credit or debit card numbers.
08Data Retention
We retain personal information for as long as reasonably necessary to:
- Provide RecruitMap;
- Maintain your account;
- Fulfill the purposes described in this Privacy Policy;
- Resolve disputes;
- Prevent fraud or abuse;
- Enforce our agreements; and
- Satisfy applicable legal obligations.
If you request deletion of your account, we will take reasonable steps to delete or de-identify personal information associated with your account.
Recruiting submissions associated with a deletion request will generally be deleted or de-identified within 90 days after we process the request, unless a longer period is required for security, legal, fraud-prevention, backup, or other legitimate purposes.
We may retain aggregated or de-identified recruiting statistics after your account or individual submissions have been deleted, provided that the retained information does not reasonably identify you.
Information may also remain temporarily in backups or system logs until those systems are overwritten or deleted in the ordinary course of operation.
09Account and Data Deletion
You may request deletion of your RecruitMap account and associated personal information by contacting:
Please send the request from the email address associated with your RecruitMap account when possible.
We may need to verify your identity before processing a deletion or privacy request.
After verification, we will take reasonable steps to process the request and delete or de-identify applicable information in accordance with this Privacy Policy.
Certain information may be retained when reasonably necessary to comply with law, prevent fraud or abuse, resolve disputes, enforce agreements, maintain security, or preserve de-identified or aggregated statistics.
10Your Privacy Choices and Rights
You may review or update certain information through RecruitMap where those features are available.
You may also contact us to request that we:
- Delete your account;
- Delete certain personal information;
- Correct inaccurate personal information; or
- Answer questions about information associated with your account.
Depending on where you live, applicable privacy law may provide additional rights regarding your personal information, including rights to request access, correction, deletion, or information about how your personal information is processed.
You may submit privacy requests to support@recruitmap.org.
We may request reasonable information to verify your identity before completing a request.
11Security
We use reasonable administrative, technical, and organizational measures intended to protect information handled through RecruitMap.
However, no website, database, network, transmission method, or storage system can be guaranteed to be completely secure. You use RecruitMap and submit information at your own risk.
You are responsible for maintaining the security of your account credentials and for promptly notifying us if you believe your account has been accessed without authorization.
12Children's Privacy
RecruitMap is intended only for individuals who are at least 16 years old.
You may not create an account or use RecruitMap if you are under 16.
We do not knowingly collect personal information from individuals under 16. If we learn that an individual under 16 has provided personal information to RecruitMap, we may delete the account and associated information.

13U.S.-Focused Service
RecruitMap is currently intended primarily for users in the United States.
If you access RecruitMap from another country, you understand that your information may be processed or stored in the United States or other locations in which RecruitMap's service providers operate.
Privacy and data-protection laws in those locations may differ from those in your country.
14Third-Party Websites and Services
RecruitMap may contain links to third-party websites, companies, recruiting portals, or other services.
RecruitMap does not control the privacy practices of those third parties. Their collection and use of information is governed by their own privacy policies.
You should review the privacy practices of third-party services before providing information to them.
15Changes to This Privacy Policy
We may update this Privacy Policy from time to time as RecruitMap changes or as legal, technical, or business requirements change.
When we make changes, we may update the “Effective Date” at the top of this Privacy Policy.
If we make material changes, we may provide additional notice through RecruitMap or by another reasonable method.
Your continued use of RecruitMap after an updated Privacy Policy becomes effective constitutes acknowledgment of the updated policy to the extent permitted by law.
